2. general information on data processing

We process personal data in accordance with the revised Swiss Data Protection Act (DPA) and - where applicable - the EU General Data Protection Regulation (GDPR).

Principles:

  • Processing in good faith, proportionate, and for a specific purpose

  • Transparency for affected individuals

  • Implementation of appropriate technical and organizational measures to ensure data security

3. processing of data when visiting our website

3.1 Hosting & Infrastructure

Our website is hosted by Squarespace. Squarespace is a website hosting service with servers located in the United States. Technical data such as IP address, browser type, time of access, and pages visited are automatically processed. This data is used to operate, secure, and optimize our website.

Squarespace collects this data in accordance with its own privacy policy. For more information, visit: https://www.squarespace.com/privacy

3.2 Cookies & Tracking

Our website uses essential cookies that are necessary for the website to function. These are set by Squarespace and are used for security, session management, and basic website functionality.

You can disable cookies in your browser at any time, but this may affect the website's functionality.

3.3 Contact Forms

Data entered via contact forms (e.g., name, email address, message) is processed to handle the inquiry and stored on Squarespace’s servers.

4. communication & marketing

4.1 Newsletter

We currently use Sendinblue (Brevo) for our newsletters. This involves processing email addresses and voluntarily provided information (e.g., name) in order to send information about our offerings and projects.

You can unsubscribe at any time by clicking the unsubscribe link in the newsletter or by sending an email.

4.2 Business Communication

We use Microsoft Teams and email for customer and project communication. This may involve the processing of metadata (e.g., time of communication, sender, recipient) as well as content data.

5. customer data management

5.1 CRM & Accounting

We currently store customer data in vtiger (hosted by Infomaniak, Switzerland). In the future, data management will be handled through Bexio (including add-ons).

Data processed: names, addresses, contact information, communication content, contract details.

5.2 Project and Collaboration Tools

We use Asana for project management. In particular, contact information and project-related notes are stored. Data may be transferred to the United States.

5.3 Cloud Storage

Our internal cloud is based on Seafile (servers located in Switzerland). We also use Microsoft 365 and Google Drive in some cases.

6. e-learning / Moodle

We operate learning platforms on Moodle. By default, the following data is processed:

  • Basic information (name, email, username)

  • Login credentials

  • Course data (e.g., completed modules, learning progress)

  • Interactions within the platform

Hosting is provided by our IT partner, Oetiker + Partner AG (Olten, Switzerland). Oetiker + Partner is contractually obligated to process data exclusively on behalf of Future Perfect and to implement appropriate security measures.

7. Disclosure of Data and Transfer of Data Abroad

We disclose personal data to third parties only to the extent necessary to provide our services or where there is a legal basis for doing so.

Data will only be transferred to third countries (e.g., the U.S. in the case of Squarespace, Microsoft, and Asana) if:

  • there is an adequacy decision by the Federal Council or the European Commission, or

  • appropriate safeguards (e.g., standard contractual clauses) are in place.

8. data security

We use technical and organizational measures to protect personal data from loss, misuse, unauthorized access and other risks. These include encrypted transmission (HTTPS), access controls and regular backups.

9. storage period

We only store personal data for as long as is necessary for the purposes for which it was collected or for as long as there are statutory retention obligations.

10. rights of the data subjects

Under the DSG and—where applicable—the GDPR, data subjects have, in particular, the right to:

  • Information on whether and what data we process

  • Correction of inaccurate data

  • Deletion of data, provided there are no legal obligations to the contrary

  • Restriction on processing

  • Disclosure/Transfer of Data (Data Portability)

  • Objection to processing (where permitted)
